Carefully review this important info to help prepare for your session and the conference.

Key Details

Thank you for agreeing to present at the VCIA Annual Conference. We look forward to hosting you at the DoubleTree by Hilton Burlington Hotel in South Burlington, Vermont in August.

Registration & Lodging

All speakers must register for the conference. Registration, lodging and travel expenses will be at your own expense or by exception as agreed upon by the conference chair and CEO. Requests for complimentary registrations for Vermont captive owner speakers will be considered under special circumstances.

Lodging arrangements will be made available to speakers in early May.

Session Materials

Final presentations are required by July 1st. Materials should be produced for the purpose of educating and facilitating discussion. These materials may include, but are not limited to, PowerPoint presentations, case studies, reference links or other helpful reference guides. Speakers are encouraged to be creative and ensure that the learning objectives are reached through the session content.

Each session will have a coordinator and content advisor providing assistance, guidance, and collaboration throughout the content development process. You must adhere to a pre-determined timeline of deliverables during the session development. VCIA will upload presentations to the conference app.

Promotion

VCIA encourages you to promote your conference session. This may include posting about your session and the conference in general using the #vciaconference hashtag, sharing session details on VCIA's LinkedIn group, and adding the event on LinkedIn as one you are attending.

VCIA will provide you with promotional assets and session-specific info.

Recordings & Press

Audio, video and webinar recordings may be made of some sessions. Your agreement to participate allows VCIA to produce and sell these recordings. VCIA is not responsible for providing recordings of sessions in the event of equipment or other failure.

Please be aware that journalists may be present during your presentation.

Sales Pitches

The VCIA Annual Conference is an educational conference. Any speaker whose presentation is determined by participants to be a sales pitch will not be considered as a speaker at future VCIA conferences. This includes distribution of sales materials. Other than materials pertaining to your session, business cards are the only thing that may be distributed during your session.

Presentation

The audience to whom you will be speaking is a group of sophisticated professionals. All communications, oral and/or written, must be professional in tone and appearance. Speakers are often seated on an elevated platform facing the audience, allowing full view of knees and legs. Women may be more comfortable in pants or in longer length skirts or dresses.

Substitutions/Cancellations

VCIA does not allow the substitution or addition of speakers to a session without the consent of VCIA's Director of Education or Conference Task Force Chair. If a scenario arises necessitating a request to cancel, substitute or add speakers to a session, the undersigned speaker agrees to contact the Director of Education or Task Force Chair as soon as possible. You agree to provide upon request any materials concerning the preparation or presentation of the session for use by the replacement speaker.

Profile

VCIA will set up a profile for you on the conference app, which will include name, title, company, headshot, bio, and email so that conference participants may contact you.
